Job Description

Job Post Title – Office Administrator (part-time)

Responsible to -  Office Manager and Office Supervisor

Days / Hours per week - Monday to Friday 1:30 pm to 5:30 pm 

5 days (20 hours) per week

(plus up to a maximum of 6 Saturdays a year for holiday cover)


Essential Criteria

  • Numerical accuracy and attention to detail – ability to handle and reconcile cash without errors.

  • Trustworthiness and integrity – reliability in handling confidential and financial information.

  • IT and administrative skills – ability to use spreadsheets, email and word processing software.


Beneficial Criteria

  • Experience of cash handling in previous employment. 

  • Previous experience  with Xero online accounts system or similar eg Sage.

  • Previous experience with the Top to Toe epos software system or similar retail stock management software or online retailing platforms such as Shopify

  • Previous experience with social media accounts for business. 

Duties and responsibilities 

Office Tasks

  • Answering phones, taking account payments, processing online sales,sending emails etc

  • Provide cover in the office during office holidays and unexpected absences

  • End of day process - change tills, make up lodgement, complete day sheet

  • Create product cards & enter copy orders onto the epos system.

  • Enter account charges & returns onto the online accounts system

  • Balance tills

  • Administer mailing list sign ups, old credit notes & gift vouchers etc

Stock Control

  • Unload and unpack shipments of products

  • Pricing / barcoding items coming into the business.

  • Checking quantities are correct and claiming for goods which are incorrect

  • Movement of items into correct stock areas

  • Assisting with claims for faulty products

  • Inspect shipments for damage and correct quantities

  • Report damages or shortages to the appropriate person

  • Match delivery documents to their invoices

  • Stocktaking 

Web site and social media assistance 

  • Assisting with social media posts on facebook and instagram

  • Assisting with administering online and telephone orders

  • Administration work with the Top To Toe and Web platform for sales and stock management


Days / hours per week

  • Monday to Friday 1:30 pm to 5:30 pm. 5 days (20 hours) per week. 

  • To help with holiday cover we would ask that cover would be provided for a maximum of 6 Saturdays a year, swapping one day during the week (Monday to Friday) for a Saturday.
